Standard 8: School Management

Effective school management requires sound planning.  It is important to incorporate not only past historical data, but watch for future directives and mandates which require projecting the proper allocation of manpower and resources. The most effective school management plans incorporate organization and management structures with dynamic and effective people focused leadership. This will inspires team members to take ownership of the overall success of the school.  

Creating systems of manageable tracking for fiscal responsibility is a major priority for an administrator. It is important to manage and organize a school’s resources by reviewing the fiscal reports for funds in each budget categorical.

I have managed several internal budget lines. These were linked to business partner and activity funds that I manage and oversee as the school business partner coordinator.

I have found it is important to plan for budgetary allocations. For example,  it is imperative to track license and expiration dates of software programs and subscriptions, which play a significant role in both curricular and operational applications. One must effectively establish an appropriate timeline for the allocations and make sure the funds are available for renewals. To maximize positive impact of instructional and fiscal resources, deliberate and thoughtful planning is essential.

Working with the school secretary-bookkeeper is crucial to maintain sound records. Following established procedures and processes keeps a budget clean and running in an orderly fashion.

I also have been delegated the authority to approve the purchase orders for the manatee business system in the AS400. I have found it is important for an administrator to delegate and cross train personnel to insure critical tasks may continue in the absence of the Principal.

Creating an effective school leadership team made up of both formal and informal leaders is imperative to creating a culture of excellence on any school campus. Understanding each person’s gifts, talents and expertise and assigning corresponding roles and responsibilities in pursuit of the school’s established goals is critical. Hiring the right personnel and both training and cross training insures an efficient and effective work environment..

Hiring the right instructor is essential for student achievement and for reporting proper in-field status to the State. It is important to monitor Full-time Equivalent (FTE) reports and maintain records of student attendance in classes with highly qualified in-field certificated teachers. Fines from these mistakes add up and can cost a school and district many dollars. I currently monitor the FTE report for accuracy. Prior to becoming an administrator, I maintained the FTE for the entire district monitoring for proper record keeping. This experience trained me in the importance of the role of an administrator for proper reporting and managing instructional personnel hiring.

Creating and maintaining a school wide calendar including events, deadlines and key milestones ensures all members of a school team are aware of upcoming activities and projects.  Communicating roles and responsibilities to each member of the team and holding them accountable for performing their assigned tasks helps to create highly effective teams. This strategy promotes a collegial atmosphere for faculty engagement and while focusing on continual school improvement.

Sending out a bell schedule is essential for aligning teachers and students in the variation of the normal bell schedule. This organizes and provides a clear objective of testing. Attached is an example of such a schedule that I previously sent out.

Brainstorm: Attached is a document used to brainstorm needs and wants to plan for a school street gala.I am the coordinator of this street gala and it raises over $10,000 for our school internal account budget. This gala has many different Chairs and Co-Chairs all of whom I oversee.

Budget from Nolan Night on Main Street (NNOM): This is a copy of the expenditures from NNOM. This is a huge street fair gala event that many thousands of residents attend. It is important to manage the budget for this event to review whether it is worth continuing and in what areas is the money made and spent. This artifact represents fiscal operations and responsibility.

Hiring in PATS (Paperless Application Tracking System): It is important to hire an in-field qualified teacher. Making hiring mistakes costs the school and district dollars and has an introspective effect on the staff. I have attached an redacted sheet from PATS hiring to be an example of where one posts and begins to look for a qualified applicant. I am very aware of these posting having been in Human Resources for 5 years.
